Most missed calls happen at the worst times: lunch, after six, or when everyone is already on another line. A voice agent won’t replace your team, but it can make sure nobody hears a ringing phone and gives up.
This guide takes you from nothing to a working agent on a real number. You’ll need about an hour of focus and a phone to test with.
Start with the three calls you get most
Don’t try to cover everything. Write down the three reasons people ring you most often. For a clinic that might be booking, moving an appointment, and opening hours. That’s your first agent.
A good first agent does three things well and knows when to pass the call on.
Describe it in plain words
Open the Agent Builder and write the job the way you’d brief a new colleague. Something like:
You answer the phone for a physio clinic in Limerick.Book, move or cancel appointments using the calendar.Never give medical advice. If the caller is in painor upset, transfer them to reception. The builder turns that into a workflow: a greeting, the steps for each kind of call, and the rules for handing over. You can edit every step.
Test it out loud
Press Test call and try to break it. Mumble, change your mind halfway, ask something off-topic. Read each transcript and tighten the steps where it wandered.
Go live
When three test calls in a row go well, connect your number or add the web widget to your site. Keep an eye on the call log for the first week. That’s where you’ll find the next thing to teach it.
